Job Description:
The role of the Bid Operations Manager is oversea and manage our offshore resource (GT Bharat) to ensure that the Firm’s approach to bid compliance and client due diligence meets desired quality standards in support of the Firm’s winning work approach.
This will include:
- ensuring the FAQs database is kept up to date and the Service Desk is maintained
- building relationships and liaise with stakeholders alongside the offshore resource
- reviewing particularly tricky questions in support of the offshore resource
- reviewing complex questionnaires
- Operationalise and manage additional junior offshore resource that will support the business in project managing and producing bid documentation.
- Work with the different SLs to understand the need
- Ensure a clear process in place for working with this resource, including setting SLAs
- Quality control the outputs from the offshore resource and manage any challenges with the approach
- Own the infrastructure that supports the firm’s approach to pursuits to ensure adherence to guidelines and best practice in support of our reputation in the market.
- Facilitate a community
- Maintain and refresh Pursuits Hub in line with market and business changes
- Draw in insight from bid teams across the firm to help on pursuits hub content
- Ensure bid templates are kept up to date
- Draw together a library of wider bid templates for advisory and tax– working with SL partners and fee-earners to ensure all are in the new libraries
- Ensure the agencies we work with (currently Glue/Hamilton Brown/occasional photographers) are kept updated on brand guidelines and are being used appropriately by teams
- Facilitate a community comprised of the various bid roles across the business
- Maintain a central repository including a collation of bid debriefs in order to develop and analyse trends across the business.
- Facilitate a discussion and make recommendations around how we might respond to the numbers seen in the reporting
- Hold regular community meetings to encourage knowledge sharing and collaboration (working with senior bid roles across the business).
- Training
- Work alongside the business school to diagnose the need from SLs for training on bids, presentation skills etc
- Support the logistics of the programme alongside the business school. (eg support with logistics, room bookings, calendar invites, printing handouts, keeping us updated on attendees/liaising with the business school if necessary)
