About The Job

This is an exciting opportunity to undertake a new role within the Exam Production team in Assessment Development and Delivery (ADD). The Digital Asset Associate is primarily responsible for managing the implementation, day-to-day management and ongoing training and advice related to ADDs Digital Asset Management (DAM) system.

The post holder will ensure that all digital assets used in assessment production are appropriately organised through meta-tagging and able to be quickly identified and used during production, supporting colleagues where needed. To support this data management, the Digital Asset Associate will also support the copyright clearance process (permission for ad hoc higher-risk third-party material, maintenance of rights management data), and support the Design Team in managing the budget for, and obtaining, multi-media assets such as voice over artists, actors, and videos.

Key Responsibilities

  • Day-to-day management of all digital assets in the DAM (Digital Asset Management) system.
  • Provide training and guidance to colleagues on how to correctly use the DAM system.
  • Manage and maintain accurate metadata tagging in the DAM system so that digital assets can be quickly identified and used in assessment production.
  • Manage and respond to queries related to the DAM system, design and exam production, and copyright.
  • Support the Design Team in managing the budget for, and obtaining, multi-media assets such as videos, voice over artists and actors.
  • Support the Associate Manger, Copyright in responding to queries, assisting with the ad hoc copyright clearance process, maintenance of rights management data, and provision of training and guidance to internal colleagues and external stakeholders.
  • Manage IB relationships within and across departments including close liaison with EP colleagues, Subject Managers and Curriculum Managers.
  • Contribute to production changes to improve efficiency of copyright and design processes.
  • Supports the design, copyright and wider exam publishing processes in the development of personal, operational, departmental and organizational changes.


About You

  • Educated to degree (or equivalent level) or equivalent experience.
  • Previous experience in a similar role within Asset Management or Digital Collection would be ideal.
  • A legal, design, librarianship or records management qualification and/or experience is highly desirable but not essential.
  • Working knowledge of the Adobe Creative Suite software and advanced knowledge of MS Office and Publishing.
  • Demonstrable experience of providing help, support and training to colleagues in previous roles.
  • Confident in communicating with colleagues with differing levels of seniority across several global departments. Exceptional command of the English language both written and spoken.
  • Meticulous ability to ensure data accuracy, quality and security.
  • An excellent command of the English language in relation to the operational requirements of a publishing department.
  • Problem solver and solution focussed.
