Job Title: Event Coordinator Internship
Division: Marketing & Communications
Reports To: Event Manager
Location: London
Type: Hybrid, expected 3-4 days a week in the office
Job Summary: We are seeking a motivated and enthusiastic Events Intern to join our team for a 6-month internship. This role would support Beazley’s event team in the planning and execution of various events, such as product launches, speaking engagements, conferences, networking cocktail receptions, brand activations, anniversary campaigns and more. Beazley’s events are global, this role will be to support the event team globally, working closely with the event managers to achieve the plans in place over the next 6 months.
Key Responsibilities
Event Planning and Execution:
- Support the planning and execution of high-quality, distinctive in-person and virtual events.
- Ensure events convey Beazley insights and expertise, reflecting the brand and its values.
Invitation And Communication Management
- Create, send, and manage invites.
- Help manage event registrations and attendee communications.
Logistics And Coordination
- Assist in coordinating event logistics, including venue setup, catering, and audiovisual requirements.
- Provide on-site support during events to ensure they run smoothly.
Material Support
- Support the creation and distribution of event materials, such as invitations, agendas, and promotional items.
Collaboration And Promotion
- Collaborate with the marketing team to promote events through various channels.
Research And Vendor Management
- Conduct research on potential event venues, vendors, and speakers.
- Effectively own and manage the relationships with event vendors, venues, and internal facilities management.
Post-Event Activities
- Assist in post-event activities, including feedback collection and analysis.
System And Process Maintenance
- Support the maintenance of an effective system of event planning, execution, and performance monitoring.
- Ensure that all events are compliant with best practice, Beazley policy, and all relevant laws and regulations.
- Support and be an integral part of the in the set up and roll out of Beazley’s new event management software to the whole of the company
Integration And Networking
- Ensure integration of event activity with other marketing and communications channels.
- Develop an excellent network of relationships within Beazley’s internal stakeholders.
Budget And Timeline Management
- Ensure that plans and activities are within a defined budget and timeline.
Team Motivation And Assistance
- Motivate the team while personally assisting and providing high-quality service based on requirements and standards.
General

- Comply with Beazley procedures, policies and regulations relevant to your role. Undertake relevant training on Beazley policies and procedures as delivered by your line manager, the Talent Management development or assurance teams (compliance, risk, internal audit) either directly, via e-learning or the learning management system.
- Comply with any specific responsibilities necessary for your role as outlined by your line manager, the Talent Management development or assurance teams (compliance, risk, internal audit) and ensure you keep up to date with developments in these areas. This may include, amongst others, Beazley’s underwriting control standards, Beazley’s claims control standards, other Beazley standards and customer relationship management.

- Carry out additional responsibilities as individually notified, either through your objectives or through the learning management system. These may include, among others, other marketing and communications duties not directly associated with ‘event management’.

Education and Qualifications
- Graduate degree preferred
- Ideally some Event experience
