Team Structure
The Events Technician is a new role within the firm and one that plays a critical role in supporting our client floor technology and ensuring our events are successful and of high quality from a technical aspect.
The Events Technician's primary responsibility will be to manage and maintain our meeting rooms, ensuring they are equipped with cutting-edge audio-visual technology and conducive to productive collaboration. Your technical expertise will shine as you troubleshoot and resolve any issues that may arise during events, guaranteeing a flawless experience for both our internal teams and valued clients. This will also include any postproduction activities.

Main Responsibilities
Client floor and Meeting Rooms
- Diagnosing, troubleshooting, and resolving technical problems across hardware, software, and network components to ensure smooth operations within all meeting rooms.
- Install, set up, and configure software applications, operating systems, and hardware devices to meet the Business needs.
- Offer technical assistance to end-users and clients, guiding them through technical challenges, and effectively communicating complex concepts to non-technical individuals.
- Maintain accurate records of technical issues, solutions, and procedures, contributing to a comprehensive knowledge base for efficient problem-solving in the future.
- Work closely with other IT teams including the global IT Service Engineer community, to coordinate efforts, share expertise, and ensure seamless IT operations within the organisation.
- Ensure all ServiceNow incidents and requests are actioned, kept up to date and that the end user is informed of status.
- Identify, inform, and escalate any patterns or trends of calls in a timely manner to the IT Systems Lead, Service Management team and/or Change and Adoption team.
- Upskill and knowledge share with colleagues.
- Use suppliers and vendors as a source of escalation to resolve problems.
- Stay up to date with tools and techniques to support the AV/VC experience within the firm working closely with the Enterprise Architects.
- Work collaboratively with the Change and Adoption team to ensure the firm is confident in how to use the technology used within the firm, to support self-sufficiency.
- Work across the various meeting rooms supporting the successful outcome of such things as court hearings and client meetings to name a few.
Events Support
- Technical point person for Business Development events and seminars; including:
- Setting up and testing of slides and ambiance for a seamless event experience
- Responsible for the uploading and management of images/videos onto the auditorium foyer screens.
- Ensuring the microphones are correctly set up and attached to speakers and hosts.
- Comfortable and confident in working in a hands-on setting that requires a tactile and physical approach. For example, when attaching such things as lapel mics to speakers and hosts.
- Management and production of the technical side of the event, for example controlling microphone volumes and switching devices seamlessly during live theatre.
- Proactively troubleshoot issues to avoid disruption to an event.
- Managing camera control and angles during an event for a high-quality attendee and speaker/host experience.
- Responsible for the closing down of all technology post events and seminars.
- Product owner for Zoom and MS Teams, ensuring new features are understood and communicated to the various teams for them to adopt/make use of.
- Attend regular events planning meetings to understand and be in control of what is needed for an event to be successful.
- Responsible for post-production video creation and ensuring these are of a high quality and standard for sharing with clients/participants.
Attributes/Skills Required
- Previous experience within a legal partnership or professional services environment.
- Familiarity with help desk software (such as ServiceNow).
- Experience of PC, laptop, network troubleshooting.
- Experience of AVMI / Video Conferencing.
- Customer-focussed with excellent communication and inter-personal skills
- Team-oriented with the ability to deal with tasks effectively.
- Strong organisational skills and the ability to juggle a constantly changing workload.
- Aptitude for problem-solving and documenting the solution.
- Ability to develop and maintain good working relationships with both internal and external clients.
- Able to reassure speakers and hosts before, during and after events when having to work in very close proximity.
- Flexible with working hours to support events and such things as court hearings, as well as be able to travel to other offices/locations when required to do so.
- Familiarity with Creston Panels and room setups desired.
- Familiarity with the Teams admin console to reboot rooms, update firmware and apps on devices, avoiding user impact.
- Solid technical background with proficiency in audio visual equipment, video conferencing systems, and event production tools.
- Exceptional troubleshooting skills and the ability to remain calm under pressure during live events.
- Previous experience in post-production work, including video editing and content enhancement.
- Strong organisational skills with meticulous attention to detail.
- Capable and confident of producing post event videos, often under time constraints, that are of a high standard and help to promote and showcase the firm in a positive way.
