The University of Hertfordshire is an exemplar within its sector and one of the region’s largest employers. The central Health and Safety Team is an impartial advisory service within the university, providing professional health and safety support, alongside its wider occupational health and workplace wellbeing services. We are looking for an experienced, highly motivated, organized Executive Assistant and Project Officer to support the Director of Health and Safety and Occupational Health.
Responsibilities
You will provide a confidential, comprehensive administrative and secretarial service, including support with financial and budgetary matters, and undertake project work as requested or agreed by the Director of Health and Safety and Occupational Health, who you would be directly reporting to. You will also provide a day-to-day office management function to the Health and Safety Department.
More specifically, duties will include but not be limited to preparing reports and correspondences, raising purchase orders, project administration (including project leading where agreed), meeting administration (including arranging meetings, preparing papers and taking minutes), office safety (including raising and following up on issues with estates), and general office administration (including monitoring the team inbox, responding to and redirecting queries as appropriate, booking venues, arranging training, monitoring and maintaining stock, support with the HR management system, support updating intranet pages and supporting with service improvements).
Skills and Experience
You will need to be an organized, motivated individual who can work autonomously and on own initiative to deliver desirable outcomes. You must be a team player, diplomatic, have a problem-solving attitude to work, and have corporate awareness with an understanding of good customer care. Crucially, you must be able to handle highly confidential, sensitive material, and will need sound personal judgement engaging various stakeholders.
Practically, the role will require someone with experience providing administrative support and communicating to executives/directors. You will therefore need to be financially numerate, with good written and oral communication skills. You should have experience in leading or co-ordinating projects, and providing practical finance support, such as raising purchase orders. Crucially, you will need to be conversant in the use of Microsoft Office Applications e.g., Word, Excel, Powerpoint, Outlook, SharePoint etc., with proven experience in adapting to new IT systems and applications.
Qualifications
Educated to a minimum of a degree level or equivalent or have substantial proven relevant work experience.
