Energy Aspects currently has an exciting opportunity for an Executive Assistant to join our growing team in London. This office-based role is a fantastic opportunity for a candidate with outstanding administrative support, gatekeeping and relationship management skillset to join our highly regarded team and be part of our successful growth story.
The successful candidate will quickly take on a range of responsibilities in managing an increasingly heavy travel, meeting, and logistics challenges for our Founder and Head of Research. The candidate will represent the office of the Head of Research, developing their own sphere of influence and relationships with stakeholders around the business and ensuring process adherence.
This position requires flexibility and the drive to support outside of core hours, ensuring that our Head of Research is successful. You must be able to work independently, be detail orientated as well as be exceptional at planning and prioritising to achieve success. For this role we are seeking applicants that are highly experienced Team Assistants / Personal Assistants / Executive Assistants supporting C-Suite, a Trading, Investments, Private Equity, Hedge Fund or similar background is much preferred.
Key Responsibilities
- Comprehensive Diary Management:
With support from the Chief of Staff, manage the yearly calendar planning for the Head of Research, taking into account extensive global speaking engagements, industry events, internal and external board meetings, client meetings and visits to local offices.
- Global Travel Coordination:
Plan and execute intricate global travel arrangements, encompassing transportation, accommodations, restaurant reservations, and meeting logistics.
- Private Jet Travel Management:
Oversee all aspects of private aviation, including sourcing and booking charters, liaising with operators, and coordinating with FBOs to ensure seamless travel experiences.
- Interview and Media Support:
Manage last-minute requests for press interviews and media appearances, ensuring seamless execution. Provide real-time troubleshooting, including coordinating with stakeholders to address urgent changes and requests.
Provide general administrative assistance to the Chief of Staff and Head of Research, ensuring operational efficiency and support.
Execute ad hoc administrative tasks for the Research team and provide assistance with special projects as requested by the team.
- Personal Assistant Responsibilities:
Manage personal tasks, including running errands, booking holidays, coordinating personal payments, and handling other PA duties as required.
Skills, Knowledge and Expertise
- Proven track record of managing complex, high-pressure, constantly changing schedules and itineraries and global travel arrangements.
- Flexibility to occasionally go outside of core business hours as required.
- Understanding of the specific needs of high-level executives.
- Excel under pressure while remaining calm and delivering high-quality work.
- Able to operate with a strong degree of autonomy, make decisions and manage complex situations independently.
- Strong communication and negotiation skills to liaise effectively with internal and external teams and navigate organisational dynamics.
- Understanding of international travel protocols, visa requirements, and customs processes.
