Job Purpose

We have an exciting opportunity to join the Regulation and Compliance Directorate as an Executive Secretary. You’ll provide a full confidential and dedicated executive secretarial service to the relevant directors, as well as taking a flexible and positive approach to providing more general support to help the smooth running of a busy team that’s at the heart of the business.

Job Accountabilities

  • Provide a confidential and dedicated secretarial service to the Director to enable them to carry out their role effectively, recognising the sensitivity of a wide variety of information that you will have access to, and delivering tasks with care and discretion
  • Build and manage positive relationships with a network of appropriate internal and external stakeholders to support the Director and their senior leadership team
  • Be responsible for the effective management and accurate completion of the Director’s diary to ensure efficient and effective management of their time, horizon scanning and fixing prospective issues, in dialogue with the Director
  • Handle and log incoming calls to the Director’s office to ensure that all queries and requests are dealt with speedily and efficiently.
  • Deal with escalated issues to support/ on behalf of the Director. This involves liaison with other departments to determine background to the problem, identifying the appropriate person to take action and ensuring the issue is dealt with accordingly.
  • Prepare agendas, co-ordinate and distribute papers for management meetings, record and track actions, as appropriate.
  • Prepare and/or format letters, emails and powerpoint presentations on behalf of the Director, as well as such other ad hoc tasks as may be required from time to time
  • Support the director and their senior leadership team to meet the deadlines in the preparation and distribution of papers for Board, executive and other committee meetings.
  • To make all necessary travel arrangements required by the Director and to ensure that all expenses incurred are recorded.
  • To undertake preparation and execution of purchasing tasks on behalf of the director, including raising purchase invoices and ensuring payments to suppliers are made on time.
  • To regularly update various schedules and databases in order to facilitate record keeping and the appropriate prioritisation of the team’s tasks
  • Provide general co-ordination of the office to ensure its smooth and efficient running, i.e. adequate cover arrangements made in the role holder’s absence.
  • Undertake organisational tasks on behalf of the team: eg: preparing and facilitating team meetings and agendas, taking care of logistical arrangements for “offsite” team meetings and events
  • On occasion, to provide holiday cover for colleagues who support other executive directors

Skills And Experience

  • Extensive previous experience and demonstrable success working in a similar role.
  • Excellent communication skills, including written communication skills, and be able to work under pressure.
  • Experience of core IT applications and be confident about learning how to use new systems and processes as part of the job.
