Kromek are looking for a General Support Assistant who is a self-starter capable of spanning between logistic support and general office administration duties.
The successful candidate will be able to work unsupervised and be highly reactive to changing priorities whilst having a level of confidence and self-motivation to look over the horizon and address minor issues before they manifest into larger obstacles. They will be familiar with both low level logistics and stock management as well as office related clerical work. This will involve accurate recordkeeping and maintaining detailed filing systems as well as understanding the requirements of a dedicated and highly technical engineering and laboratory team. The ideal candidate will have excellent organisational skills, the ability to multitask, and a proactive approach to problem-solving.
Core Duties And Responsibilities
- Document Management:
- Maintain accurate filing systems, both physical and electronic, ensuring easy retrieval of information.
- Assist in the drafting and proofreading of correspondence and official documents.
- Scheduling and Coordination:
- Coordinate and schedule appointments, meetings, and events.
- Manage calendars for staff, ensuring all appointments are up to date.
- Arrange travel and accommodation for employees as needed.
- Arrange catering for meetings
- Logistic Management:
- Maintain regular stock checks of a small but highly specialised engineering inventory.
- Manage routine replenishment of key stock items
- Liaise with the Engineering and Laboratory Teams to facilitate Purchase Ordering Requests
- Office Management:
- Maintain and organise office supplies and equipment.
- Handle routine maintenance requests and coordinate with service providers.
- Communication Handling:
- Manage incoming and outgoing communications, including phone calls, emails, and mail.
- Direct inquiries to the appropriate departments or personnel.
- Clerical Support:
- Perform general clerical duties, including photocopying, scanning, faxing, and data entry.
- Support various administrative projects and initiatives as needed.
- Customer Service:
- Provide excellent customer service to clients, visitors, and staff.
- Address inquiries and resolve issues promptly and efficiently.
- Administrative Projects:
- Assist in the preparation and coordination of company events, meetings, and conferences.
- Support various departments with administrative tasks and special projects.
- Contribute to process improvements and organisational efficiency.
Requirements
Essential:
- Excellent organisational and multitasking abilities.
- Strong communication skills, both written and verbal.
- Attention to detail and problem-solving skill.
- Ability to work independently and as part of a team.
- Professional demeanour and a customer-oriented attitude.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- A proactive and motivated self-starter who does not wait to be given work.
Ideal
- Experience of low-level technical logistics, stock management and resupply
- Experience in the use of SAGE or other Accounting Management Information Systems (MIS).
- Experience of working in situations where priorities may vary and where time delivery is key
- Experience of supporting a dynamic organisation where they fulfil a key support function not directly related to the technical output.
