The Junior Company Secretarial Assistant will support Starling's collaborative and dynamic Company Secretariat team in providing high-quality corporate governance services. This position is suitable for someone with a minimum of 1 year experience in a similar role and who intends to pursue a career in corporate governance.
Key Responsibilities:
- Committee Support:
- Providing high-quality end-to-end company secretarial support to the Health and Safety Forum, including preparation of agendas, collating meeting papers, preparing timely and accurate meeting minutes and maintaining action/decision logs.
- Supporting the administration of executive-level committees by summarising meeting actions and decisions and ensuring timely follow-up with senior management.
- Statutory Corporate Compliance:
- Maintaining the Group's statutory records and registers and structure charts.
- Assisting with the preparation and submission of Companies House filings in a timely and accurate manner.
- Maintaining Group PSC / UBO registers.
- Leading on responses to KYC, internal and external audit, and other information requests as required.
- Shareholder / Share Scheme Matters:
- Supporting the team with share scheme administration; experience of Shareworks would be advantageous.
- Providing support in managing shareholder communications, including issuing shareholder circulars, and managing shareholder communication preferences.
- Document Management:
- Assisting with the signing of documents and maintaining accurate filing of corporate and governance records.
- Arranging the notarisation of documents, as required.
- Corporate Governance:
- Supporting the team in implementing corporate governance best practices.
- Supporting the organisation of Board level learning and development sessions and tracking attendance.
- Administrative Duties:
- Monitoring correspondence in a shared team inbox and responding to routine queries.
- Supporting ad hoc projects, as required.
Requirements
- Previous experience in a similar role for a minimum of 1 year is essential.
- Interest in pursuing a career in corporate governance or company secretarial work.
- A basic understanding of company law and governance principles is advantageous.
- Experience of working with GEMS and proficiency in Google Workspace preferred.
- Strong attention to detail and organisational skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- A proactive attitude and willingness to learn.
- Good time management skills, with the ability to prioritise and meet deadlines.
