Job Purpose Summary
To ensure that all inbound and outbound deliveries are planned, scheduled and confirmed in line with company requirements and comply with HMRC regulations. To act as the interface between the company's commercial teams, vendors, customers, and the warehouse operations in multiple countries. You will also provide administration support to all warehousing operations. The Logistics Coordinator will be regularly involved in dealings with HMRC, freight carriers and internal stakeholders to ensure compliance and effective shipping. You will have experience in all aspects of the planning and freight operations and be a Subject Matter Expert in one or more key strategic work areas. You will also be expected to deputise for the Senior Logistics Planner for a short to medium time period.
Role Responsibilities
- Ensure inbound and outbound volumes are planned in collaboration with the key internal and external business stakeholders
- Plan the inbound+Outbound delivery booking schedule, liaising with the warehouse operations + transportation carriers to ensure the deliveries are planned effectively
- The planning and coordinating of customer deliveries, ensuring customer SLA’s are followed. This will include key (high profile) customer accounts
- Remote supervision of multiple 3PL warehouses, including taking ownership of their inbound deliveries, customs clearances and discrepancies.
- Acts as primary interface between Inbound + Outbound Planning and Commercial Teams ensuring best value shipment options are selected.
- Booking inbound & outbound transportation services, this will include interaction with freight management systems (portals) and sound negotiation skills
- Responsible for the creation of Inbound Delivery Numbers (IDN) to aid in the receipt of inbound deliveries
- Negotiating with freight service providers to obtain best service options and quotations
- Resolving account queries e.g. relating to over-shipments and short-shipments, and damages
- Resolve inbound and outbound delivery and audit queries
- Support the Senior Planner in resolving logistics and distribution issues and also deputises during periods of absence.
- Report to the wider business on any overdue inbound shipments
- Supervising administrative support to warehouse operations e.g. the production of inbound and outbound documentation
- Utilise system tools such as EDI where possible to reduce manual input ensuring WMS and SAP alignment
- Leads dialogue with service providors on specific operational tasks and issues.
- Provide meaningful logistics data and KPI reports to key stakeholders within the business
- Ensure the business complies with import & export legislation, and all documentation meets statutory guidelines
- Take lead responsibility on processing customs clearance instructions, internationally, including for multiple EU 3PL warehouses
- Remote supervision of Inbound deliveries and stock transfers between the UK site and multiple EU warehouses
- Support the internal continuous process quality improvement programme
- Assist in the creation of SOP's and training documentation
- Perform all other duties as assigned by your line manager
- Responds to Accounts payable on financial queries relating to Service Providor Invoinces.
- Takes ownership and responsibility for ensuring that daily reports (Overdue list, Seafreight Tracking) are updated on their respective platforms
Additional Responsibilities
- Previous experience of warehouse operations (goods receiving, pick, pack & despatch)
- Previous experience of Inbound or Outbound Logistics to include interaction with 3PL freight carrier service providers
- Excellent planning skills with the ability to handle multiple tasks through to completion and to manage competing priorities
- Skilled in leveraging supply chain efficiencies through effective planning
- Excellent administration skills with the ability to optimise own performance and development
- Excellent verbal and written communication skills (fluency in English is required)
- Experience of working within defined Standard Operating Procedures
- Excellent analytical skills with the ability to analyse and manipulate data and provide meaningful information
- Excellent IT systems knowledge including Microsoft Office, WMS & SAP systems
- An excellent understanding of the current import and export shipping market, and the services each Freight Forwarder has to offer
- Knowledge of HMRC customs regulations and how they are applicable to importing and exporting goods and services
- Good knowledge of import and export legislative requirements including Incoterms
- Excellent commercial and financial acumen and awareness
