What is the overall job?
The Office Manager is responsible facilitating the smooth implementation, running and decommission of the project offices and welfare.
In line with Multiplex Core values, they ensure the company culture is upheld and support project teams, to allow the successful delivery of the projects.
They will be the first point of call for the site and a point of contact between the teams and head office departments, ensuring essential guidance, policies and procedures and best practices are upheld.
This role is based at the project site office in Central London and may require infrequent travel to head office, or other sites.
Other Responsibilities But Limited To Include
- Playing a key role in the mobilisation and set up of new offices or new office locations.
- Responsible for the effective management of office supplies for their project. These duties may be delegated where appropriate, but the overall accountability will fall to the Office Manager.
- Ensuring that all new starters are onboarded correctly via workday for their role and have the appropriate workstation, PPE, New starter kit and IT equipment, and systems. Complete Right to work checks prior to start dates and complete an introduction to workday, MyIT and Office Procedures.
- Ensuring that project staff have been provided with the information and tools they require to perform their roles.
- Providing aid to the project Health and Safety and Sustainability resources.
- Assist the Handover Manager and Project Leads to coordinate and communicate third party site visits to project staff.
- Responsible for the planning and execution of project topping out ceremonies, project completion events, as well as project social and morale events, team meetings, and team building events.
What do I need to be successful in this role?
Skills
You will need to have had previous experience in a similar role on a construction site. Other desirable skills and experience will include:
- Previous experience in Construction and working in an on-site office environment on a Tier 1 or 2 contractor's site is preferable.
- Previous experience as an Office Manager with Facilities Management is preferable.
- Previous experience in facilitating office moves.
- Good verbal and written communication skills able to interact with multiple stakeholders.
- Experience with Purchase Management. Using IFS would be beneficial.
- Strong problem-solving skills, and a proactive self-starter mindset.
- Decision Making - considering the relative costs and benefits of potential actions to choose the most appropriate one
