Duties & Responsibilities
Purpose
The primary responsibility of this position is to assist Project Manager(s) and/or project members in the course of day-to-day project activities.
Functions
- Maintain team calendars and project schedules.
- Read, route, and process incoming and outgoing mail and business correspondence.
- Compose and type routine correspondence, prepare and update spreadsheets, and create presentation material.
- Coordinate and arrange meetings and luncheons, prepare agendas, take notes, reserve and prepare facilities.
- Order and maintain supplies and arrange for equipment maintenance.
- Assist with data maintenance and reporting which could include, but not limited to: Peoplesoft, LMS, PDM.
- Organize and maintain documentation following the Document Control Process.
- Open Project numbers in Peoplesoft and PDM system.
- Arrange and coordinate travel schedules and reservations.
- Project Team expense report generation.
- Booking/Managing training and 3rd party course assignments .
- Provide Admin support to OPG Senior Management.
Supervisory Responsibilities
- This position has no direct supervisory responsibilities.
Reporting Relationship
- Report to OPG Project Manager.
- May take direction from Project Team.
Required
Qualifications
- Experience in related adminstrative and clerical function
- Experience with standard email and internet systems
- Basic skills with MS Office applications
DESIRED
- BSc in Project Management, Engineering, Business Management, or equivalent experience.
- Experience in related industry
- Knowledge of PeopleSoft or similar business system.
