Importantly, while the aim is to build a strong London offering, ConcentricLife UK is connected to the wider US ConcentricLife agency and can share resources where necessary, such as brand designers, project managers, creative teams, medical writers, video editors, and animators via the agency’s in-house studio team known as The Furnace.

Who We Are Looking For:
ConcentricLife is seeking a Senior Project Manager to join our London-based global team who will represent the agency and deliver projects on time, on specification, and on budget. You must demonstrate a good understanding of project management tools and best-practice methodology, and have the flexibility to lead a diverse and dynamic team to deliver balanced integrated solutions. You are everyone’s point person for the projects, and relied upon across departments with respect to what to expect, what to do next, and where to be.

Reports to: Project Management Associate Manager
What You Will Do:
Manage and direct multiple medium- and large-scale projects
Propose appropriate project approach and deliverables based on budget, timing restrictions and business goals
Assist in managing larger projects with a more senior project manager (PM)
Seek help from a senior PM to prioritise work, taking into consideration deadline, urgency, and complexity

Maintain a clear understanding of the creative strategy on all assigned projects
Develop accurate project-planning assets (e.g, timelines, budgets, and scopes of work); partner with account supervisor to gather all information required to develop these assets; and oversee production by direct report(s) before approving for internal team review
Maintain a successful partnership with the client solutions team by adhering to the agency RACI matrix (Responsible, Accountable, Consulted, Informed)
Comply with agency processes related to resource allocation and projects
Maintain solid relationships with other departments and be respectful of the contributions they make in the project life cycle; continuously partner with department leads on improving interdepartmental working relationships
Provide day-to-day support for the internal team by coordinating meetings; disseminate recaps outlining plan/next steps and action items following internal meetings; maintain internal hot sheets
Ensure you and your direct reports are involving appropriate team resources at each step in the process
Participate in the brief review process prior to the brief being shared with the client and/or internal team; verify that all assumptions, workflow, etc. are in line with agency processes, and communicate any necessary changes to brief author
Understand when to escalate potential risks for more senior level support
Able to interpret scopes created by another PM and/or pull together scopes for medium projects with limited oversight
Participate in (or delegate management of) internal (and client, if applicable) budget meetings, confidently speaking to issues and concerns as they arise and offering options for resolution; speak up to enforce time transfer rules when needed
Properly prepare (or delegate preparation of) POs and other vendor management-related financial documents to ensure on-time payments are remitted
Communicate changes in scope and/or timeline that will impact budget to the finance team
Take an active role in brand planning and scoping exercises (i.e., annual tactical planning, scope development, etc.)
Provide context around project overburn during internal finance meetings
Review actual hours and take appropriate action for any billed time that looks amiss; evaluate actual hours against original staff plan; and project % complete to quickly determine project health
Gather information needed to educate internal team on outcomes to expect from change requests, including changes to scope, schedule, or cost
Develop staff plans and estimates
What You Bring:
4-6 years of experience in project management or integrated production experience in an advertising agency or similar environment
2-6 years of internal team management, scoping and budget management, and resource management experience
An in-depth understanding of traditional and digital marketing and advertising processes and methods, as well as project management techniques
Knowledge of production and the creative development process, experience design, technology (web & app development), QA testing, and marketing methodologies
Strong written and verbal communication skills
An ability to thrive in a fast-paced environment and be able to manage deadlines
The skill to tell a simple story visually and verbally
