The opportunity

Our Brand Management team is seeking a Trade Mark & Cost Quote Administrator to join this growing practice area. The successful candidate will be able to demonstrate previous experience in the areas of the job description listed below.

The team

Our Intellectual Property team is consistently ranked as band 1 in both Legal 500 and Chambers and Partners. We have one of the largest IP teams in London with c.80 lawyers with unparalleled contentious and non-contentious capabilities in relation to all IP rights; trade marks, patents, copyright and database rights, confidential information and data privacy. We advise on IP protection, enforcement, strategic management, valuation and monetisation of brand portfolios. Because of our broad remit our clients are an eclectic mix of the diverse and traditional.


Internationally Bird & Bird has over 350 IP lawyers, attorneys and legal professionals across our 32 offices, meaning we're all on the same page and offer consistency and quality that runs through all levels of seniority.


What you'll do

  • Take the lead in preparations of cost quotes to the clients for trade mark/design filings/renewals and Recordals.
  • Work closely with Senior Executives and Partners and assist bid proposals. Analyse clients’ IP portfolios where necessary
  • Collect fee schedules from global agents. Deposit them in various database & document management system.
  • Maintain the databases in relation to global agent network, fee schedules and quotes and files up to date.
  • Review global agent disbursement invoices against their agreed fee schedule and quotes.
  • Review incoming correspondence to identify key information, statutory deadlines, timetables for future activity/requirements and other docketing details and updating IP software database accordingly.
  • Support trademark projects including portfolio on-boarding, including review of IP portfolios, data creation and data verification for critical fields and deadlines.
  • Supervise junior members of the team
  • Other duties may be assigned.


About you

  • Minimum of 5 years of practical experience in Trade Marks.
  • Good working knowledge of Excel including creating formula combinations.
  • Comfortable working with numbers and calculations.
  • A flexible, can-do attitude.
  • Able to manage competing demands and work well under pressure.
  • Good communication skills essential.
  • Excellent attention to detail.
  • Ability to work independently, as well as confidence in working in a team-based environment
  • An ability to build strong working relationships, both internally and externally, where applicable.


The main responsibilities of this role are outlined above; however, this description is not exhaustive, and the job holder may be required to undertake additional duties from time to time to ensure the smooth running of the department. The role may require some working outside our normal working hours of 9:30am- 5:30pm.
