The Role:
Assistant for the CIO Equities
This includes thorough diary management, extensive travel planning and general support. The candidate will develop an excellent working relationship with the other assistants to ensure appropriate cover during holidays / absence and to balance capacities.
You will be joining a high performing team of 7 Personal Assistants.
Key Responsibilities:
- Support the CIO, Equities, Multi Asset and Sustainability on a day to day basis with diary management and arranging complex meetings which includes collation of meeting materials and file organisation. Ensure that their diary is well planned and that up-coming meetings are prepared for in coordination with their wider support team.
- To provided diary and administrational support for other Senior management within Public Investments where required.
- Working with the other Team PAs across Investment teams and within the Administration Team to ensure consistent support across Public Investments.
- Assist with Administration and minuting for Board meetings and Committees -Diary management, planning of Committee Board meetings, organize catering where needed, liaise with Committee Chairs and members and assist with any queries.
- Arranging internal and external events.
- Client liaison regarding meetings/appropriate information requests, as required.
- Work closely with the Head of Public Investment Administration.
- Scheduling of meetings both internally and externally.
- Collate and distribute papers for specific internal meetings, Investment Committees etc.
- Booking all elements of global and UK travel, including accommodation, planning itineraries and co-ordinating meetings.
- Taking ownership of Board Meeting Scheduling.
- Assisting with events organisation, including the annual Summer Party, Annual General Meeting, Christmas Party, offsites.
- Ad hoc tasks as required.
Key Knowledge, Skills & Experience:
- Diary Management.
- Ability to multi-task with numerous people/teams and understand their various requirements.
- Good attention to detail.
- Travel co-ordination both domestic and international.
- Financial management; invoices, expenses.
- Experience with working with colleagues on various seniority levels.
- Communication at all levels.
- Build and maintain effective working relationships within the team and across Equities, Multi Asset and Stewardship & Sustainability
- Team work.
- Strong organisational skills with the ability to priorities’ effectively.
- Proactive, enthusiastic with a friendly ‘can do’ attitude.
- Microsoft office proficiency: intermediate level or above.
