Compensation: £30,000 - £32,000 / year

Description

We are looking for an experienced secretary to join our Tronc team. You will be able to demonstrate that you can deliver professional secretarial support to a Partner and Senior Management Team as well as supporting the wider team and Tronc clients. This role will closely support approximately 40 people in the Tronc department.

Key Responsibilities


  • Diary Management for the Partner. Client creation/anti-Money Laundering procedures - preparing of Letters of Engagement, client set-up forms etc.

  • Preparing first draft letters and other documents including minutes of meetings for approval/ amendment by Partners.

  • Raising monthly bills for 370 clients.

  • Ad-hoc administrative work. Full training will be provided.

  • Partner/Senior Management Team meeting room bookings.

  • Preparing routine responses to clients.

  • Triaging emails.

  • Managing Employee Information Request queries.

  • Updating CRM database with contacts.

  • Relaying messages via e-mail.

  • Organising courier bookings.

  • Inputting Partner's expenses on a monthly basis.

  • Arranging travel and accommodation.

  • Team Support/Administration.

  • Contacting IT support when needed.




Skills, Knowledge and Expertise


  • Experience in a similar role.

  • Experience of working within a Professional Services organisation is desirable, but not essential.

  • A team player and willing to help other team members whenever the need arises but also able to work independently and use initiative.

  • Ability to develop, maintain and follow defined processes and work within legislative guidelines, ensuring compliance and best practice are maintained.

  • Advanced level knowledge of MS Office packages including Word, Excel, Outlook and PowerPoint.

  • Familiar with typing and formatting reports – including tables and spreadsheets.

  • Ability to communicate effectively both orally and in writing.

  • Have a professional telephone manner.

  • Effective organisational skills and ability to manage own workload.

  • A desire to take an interest in the clients and business.

  • Flexible and adaptable approach to work.

  • Pro-active and ability to work on own initiative.

  • Educated, with a minimum score of 5 or Grade B in English at GCSE.
